Digitalization through Kaizen Activity

In March 2023, we began making continuous improvements, starting with enhancements to the external area of the office.
First, we marked and organized the parking area, clearly separating the staff parking zone from the visitor parking zone in front of the office. This helped ensure cleanliness, order, and convenience for parking.
Next, we continued improving organization and order inside the office. Initially, we arranged separate shoe cabinets for staff and visitors, clearly divided from one another, to maintain hygiene and office discipline.
Along the walls where electronic devices are installed—such as light switches, air conditioner controls, and televisions—we placed instructional labels so that staff and visitors could use them correctly.
In particular, for electronic equipment used daily, we wrote specific step-by-step usage instructions and attached the guidance near the devices. This made them easier to use and helped reduce operational errors.
Regarding office supplies, at Lorn & Partners process was similar to the arrangement of electronic devices mentioned above. We organized file drawers properly by separating them according to each document type.
For document folders, we also attached clear name labels on each folder to make searching and usage easier.
In addition, we categorized and arranged all office supplies according to each department and each department’s responsibilities. This made management easier and also improved accountability in cases where supplies go missing.
For the use or completion of various forms, we prepared a manual guide explaining how to use and complete them correctly. This was especially helpful for new employees who were not yet familiar with the forms.
Cleaning supplies were also stored in an organized manner. Each item was labeled clearly, making it easier for use and management.
This type of organization has helped the office remain clean, well-structured, and easy to monitor and manage, in line with the workflow and true Kaizen principles.

When Lorn & Partners successfully implemented the Kaizen system, the company smoothly transitioned into Digitalization through Kaizen Activities. As a first step, we digitized all work that was previously done manually. This includes daily report submissions, employee suggestion boxes, customer feedback, leader shift responsibilities, shift leader schedules, leader shift daily reports, and meeting room bookings.

All physical documents in hand were organized, scanned, and stored in the Company Drive according to each department, with unique identification numbers for easy reference.

The ease with which Lorn & Partners transitioned into Digitalization through Kaizen Activities has allowed us to take one step ahead. We can now work faster and with fewer errors. The convenience of document retrieval and performing tasks digitally also enables both employees and managers to collaborate anytime and anywhere.
